How to create custom statuses, tags, and fields

Learn how to create custom statuses, tags and fields for any list

Every list comes with its own statuses, tags, and fields, the building blocks you use to organize records the way you work. This guide shows you how to add and edit them, who on your team can manage them, and how to save your setup as a reusable template.


Who can manage list attributes

Before you start, it's worth knowing who can make these changes:

- Owners and Editors can add, edit, and delete statuses, tags, and fields on a list.
- Workspace Admins can manage attributes on any list.

👀 Viewers can use statuses, tags, and fields and add records, but cannot change the attributes themselves. If you don't see the settings gear on a list, you have Viewer access; ask the list owner or an admin to make the change or grant you Editor access.


Open your list's Attributes settings

From the Lists page, click the Settings (gear) icon on the list you want to edit, then open the Attributes tab. This is where all your statuses, tags, and fields live.

Add or edit statuses

Statuses track where a record is in your pipeline. For example, New, Contacted, or Hired.

1. In the Statuses section, click Add status.
2. Type a name for the status.
3. Repeat for each stage you want to track. To remove one, click the trash icon next to it.
4. Click Save statuses when you're done.

Add or edit tags

Tags are flexible labels you can apply to any record; like High Producer, Culture Fit, or Competitor.

1. In the Tags section, click Add tag.
2. Type a name, then click the color square to pick a color.
3. To remove a tag, click the trash icon next to it.
4. Click Save tags when you're done.

Tags are shared with everyone on the list, so your whole team works from the same set.

Add custom fields

Custom fields let you capture extra details that matter to you — anything from a phone number to a deal size.

1. In the Custom fields section, type a Field name.
2. Choose a field type from the dropdown.

Field Types

  - Text: names, notes, anything written
  - Number: counts and figures
  - Currency: dollar amounts
  - Date: deadlines and key dates
  - Checkbox: yes/no
  - URL: links
  - Rating: a quick score


3. Click Add. To remove a field, click the trash icon next to it.

Save your setup as a template

Once you've built a set of statuses, tags, and fields you like, you can save it as a template and reuse it on future lists; no need to set everything up again.

1. At the top of the Attributes tab, click Save as template.
2. Give your template a name (for example, Recruiting pipeline).
3. Click Save template.

Your saved template appears under My templates in the New list window, and in the Load template menu on any list's Attributes tab. You can also share it with teammates from the Load menu so everyone can build lists the same way.
