Filtering CRM lists

Filter the CRM Lists page by Owner, Assigned to, Created date, Type, Records and Sharing to find any list in your workspace in a few clicks.

As a workspace grows, so does its pile of CRM lists. The Filter menu on the Lists page narrows them down — by who owns them, who they're shared with, when they were made and how big they are.

What list filters do

List filters narrow the CRM Lists page to the lists that match every filter you set. They work alongside search and use the same filter menu as People and Companies in the CRM.

You can filter by:

  • Owner: the members who own the list. You're listed first.
  • Assigned to: lists shared with specific members, or with anyone as an editor or a viewer. Choose Editor or viewer, Editors or Viewers, plus any members.
  • Created: lists created on, before or after a date.
  • Type: People or Companies lists.
  • Records: lists within a record count range, or empty lists only.
  • Sharing: private lists, lists shared with everyone in the workspace, or lists shared with specific people.

Filters turn a long list of lists into the handful you need — like every People list a teammate shares with you, or every empty list worth cleaning up.

Filtering your CRM lists

Let's narrow the CRM Lists page.

  1. Open the CRM and go to Lists.
  2. Select Filter next to the search box.
  3. Choose a filter, such as Owner or Sharing, and pick the options you want.
  4. Add more filters as needed. Each one appears as a chip, and the Filter button shows how many are on.

Every filter you add narrows the results further, so combining Type, Assigned to and Records gets you to a specific set of lists fast.

💡 Workspace admins can switch between My lists and All lists first, then filter. Filters apply on top of whichever view you're in.

Clearing list filters

Select the x on a chip to remove one filter, or Clear all to remove every filter at once. Your lists aren't changed by filtering — it only changes what the Lists page shows.

Frequently asked questions

Does filtering delete or hide my lists? No. Your lists and their records are safe. Filters only change which lists the Lists page shows, and Clear all brings every list back.

How do I find lists a teammate shared with me? Use Assigned to and pick yourself, or pick Editors or Viewers to narrow it to your level of access.

How do I find lists I can clean up? Set Records to empty lists only. Add Owner to narrow it to lists you own.

Can I filter by when a list was last used? Filter by Created with Before a date to bring up older lists, then open them to check their recent activity.

Do list filters work on my phone? Yes — on mobile, the Filter menu opens as a sheet from the bottom of the screen.
