Sending email from a record
Send email from any record in the Model Match CRM through your connected Gmail or Outlook account, with rich text, merge variables, and attachments.

Opening the composer
Two ways in, both from the record:
- The Email quick action next to the status picker.
- Clicking any email address in the record's details rail.
Either opens a Gmail-style composer addressed to the record. (If the Email button is grayed out, the record has no email address yet — add one in the details rail and it activates.)
Connecting your email account
Email sends through your own connected Gmail or Outlook account, so messages come from your real address, live in your Sent folder, and thread like any other conversation you're having.
If you haven't connected an account yet, the Send button becomes a Connect prompt, and a one-time flow walks you through linking Gmail or Outlook. After that, you're set for every future send.
Writing your email
The composer works the way you'd expect from a modern email client:
- To, CC, and BCC fields with chips. Typeahead suggests contacts from your CRM, and you can also free-type any address.
- A rich-text body with the same editor as notes: bold, italic, underline, lists, and links.
- Merge variables, which personalize the message from the record's data — so a templated outreach message fills in the right details for each recipient.
Attachments
Attach files to your email as needed. Keep the total attachment size under about 3 MB per email; for larger files, send a link to a shared drive instead.
How sends are logged
Every email sent from the CRM is logged to the record's activity timeline as an "email sent" event. Your teammates see that outreach happened and when, keeping the record's history complete alongside notes, calls, tasks, and meetings. See [Notes, mentions, and the activity timeline].
💡Like everything on the timeline, logged emails are visible to everyone with access to the record.
Frequently asked questions
What address do my emails come from?
Your own connected Gmail or Outlook address. Recipients see a normal email from you, and the message appears in your Sent folder.
Can I email someone who isn't in the CRM?
Yes. The To, CC, and BCC fields accept free-typed addresses alongside CRM contacts.
Why is the Email button disabled?
The record has no email address on file. Add one in the details rail and the button activates.
Is there a size limit on attachments?
Keep the total under about 3 MB per email. For anything larger, link to a file in a shared drive.
Do replies show up in the CRM?
Sent emails are logged to the record's timeline. Manage the conversation itself, including replies, from your Gmail or Outlook inbox as usual.
